Privacy Policy

This is a template privacy policy drafted for ChangeOrder's intended data practices. It has not been reviewed by an attorney and should be reviewed by counsel — and adjusted for your specific jurisdiction and business entity — before it is relied on as a compliance document.

ChangeOrder (“ChangeOrder,” “we,” “us”) provides a mobile app and related web pages that let contractors capture, price, and get signatures on construction change orders. This policy describes what information we collect through the app and the homeowner-facing signing page, how we use it, and the choices you have.

Information we collect

Account information

When a contractor creates an account, we collect an email address used for authentication (including magic-link sign-in) and account recovery.

Business profile

Business name, trade, license number, logo, and a saved contractor signature used to brand and populate the change orders and PDFs a contractor generates.

Client and job information

Client names, phone numbers, job addresses, and job/scope details that a contractor enters or dictates while using the app. This information is provided and controlled by the contractor, who is responsible for having a lawful basis to share it with us on their client's behalf.

Site photos

Photos a contractor attaches to a change order (for example, to document a job-site condition) are stored and associated with that change order.

E-signatures and signing audit metadata

When a change order is signed — either in person on the contractor's device or through a texted signing link — we store the signature image and audit metadata about that signing event, including IP address, user agent (device/browser), and timestamp. This metadata exists to support the enforceability of the signed document.

Voice transcripts & AI structuring

Voice dictation happens on-device. Only the resulting text transcript — not audio — is sent to our AI provider (Anthropic) to structure a spoken description into a scope summary and suggested line items. That text may include whatever the contractor describes out loud, including client or job details.

Push notification token

If a contractor enables push notifications, we store a device push token in order to deliver notifications about change order activity (for example, when a client signs or declines).

Subscription status

Subscription and billing status is managed by RevenueCat and the relevant app store (Apple App Store / Google Play). We receive and store subscription status (e.g., trial, active, expired) — we do not receive or store payment card numbers.

How we use information

We do not sell personal information. We share information with the following categories of service providers, only as needed to operate the app:

Data retention & deletion

We retain account, business, job, and change order data for as long as an account is active. Contractors can delete their account from within the app; deletion removes the business record and cascades to associated jobs, change orders, and stored files (photos, PDFs, signatures), along with the underlying authentication account. Signed change-order documents may be retained briefly to complete an in-progress deletion or to satisfy a legal obligation before final removal.

Security

We use industry-standard safeguards — including encryption in transit, access controls, and a database design where the client-facing signing page never has direct database access — to protect the information we store. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Children's privacy

ChangeOrder is a business tool for contractors and is not directed to, and should not be used by, children. We do not knowingly collect personal information from children.

Your rights & choices

Contractors can access and update most of their information directly in the app, and can delete their account and associated data from the app's settings at any time. For requests we can't handle in-app — including requests from a client/homeowner about information a contractor entered about them — contact us using the details below.

International data transfers

Our service providers may process and store information in the United States and other countries. Where required, we rely on appropriate safeguards for any cross-border transfer of personal information.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
